Zapier to Pipedream: Real-Time Call Routing Case Study
See how a small pay-per-call call center used a Zapier to Pipedream migration to get real-time call routing, IP-based fraud checks, and agent analytics.
When you run a pay-per-call call center, every second of dead air costs money, and so does the automation bill. For one small US operator running travel and insurance verticals, those two pressures collided in late 2023: their Zapier workflows were hitting plan limits, routing logic was failing under real-time call volume, and the monthly bill kept climbing while reliability dropped. This case study walks through their Zapier to Pipedream migration and what it made possible.

The Problem: Zapier Was the Wrong Tool for Real-Time Call Routing
The business ran on Ringba, a call tracking and routing platform popular in the pay-per-call industry. Ringba handles call pools, number management, and buyer routing, but the business logic sitting on top of it was built in Zapier.
The problem: Zapier is event-driven but not stateful. The team needed to track IP addresses across time windows — specifically, counting how many calls had come from a given IP in the last 60 seconds to detect and throttle suspicious call patterns. Zapier has no built-in data store capable of that kind of rolling-window computation, and the workarounds were fragile.
On top of that, Zapier's polling triggers added latency that live call transfers can't absorb. In pay-per-call, the routing decision has to happen while the buyer's line is ringing. Polling triggers check for new data every 1–15 minutes depending on plan. That wasn't close.
The Decision: A Zapier to Pipedream Migration Built Around State
The team brought in Connex to migrate from Zapier to Pipedream, a code-native automation platform that runs Node.js steps, supports real data stores, and triggers on webhooks instead of polling. The migration wasn't a lift-and-shift. It was a redesign.
Key pieces the Connex team built in the first sprint (November–December 2023):
IP-based rate-limiting logic using Pipedream's built-in Data Stores. Each incoming call webhook writes the IP address and timestamp to a data store; a step then iterates over that array to count requests within the last 60 seconds. Calls over threshold get flagged before they hit the Ringba routing layer.
Ringba number pool management: a workflow that removes a number from the pool, waits 15 minutes, then re-adds it, handling the number-recycling cool-down the client's setup needed without manual intervention.
Zoho CRM integration: workflows that sync call outcomes to Zoho CRM records, keeping the sales team's pipeline current without manual data entry after each call session.
Webhook-based trigger architecture replacing all Zapier polling, which closed the latency gap.
What Followed: Nine Months of Iterative Build
What started as a migration became an ongoing build engagement. Between November 2023 and August 2024, the Connex team ran more than a dozen documented support and development sessions with the client, steadily expanding the automation layer. The work moved from routing logic into deeper Zoho CRM workflow automation as the business added the insurance vertical alongside travel.
By mid-2024, the engagement shifted into a second phase: building an agent scorecard and performance analytics system. The client was preparing to scale (eventually planning a call center operation in Colombia with upwards of 300 agents) and needed infrastructure to track agent-level performance and revenue contribution before that scale made manual oversight impossible.
The scorecard work involved integrating call data from Ringba with agent records and revenue outcomes, then surfacing that data in a format the operations team could act on without querying raw exports.
The Stack
The finished system runs on:
Pipedream — core automation and data store layer (replaced Zapier)
Ringba — call tracking, routing, and number pool management
Zoho CRM — sales pipeline and contact management, synced via Pipedream workflows
Estimated Impact
📊
These are estimates derived from the engagement record, not audited figures. Basis noted for each.
Routing latency reduction: Pipedream's webhook triggers fire as soon as the event arrives, removing the 1–15 minute lag of Zapier's polling triggers. For a live call transfer operation, that's the difference between a working system and a broken one: routing decisions that couldn't run in real time now execute within seconds of the call event. (Basis: architectural difference between polling and webhook execution.)
Estimated 8–12 hours/week of manual data entry eliminated (estimate based on Zoho CRM sync automation replacing post-session manual call logging across a multi-agent operation). (Basis: CRM sync workflows documented across multiple sessions; typical manual entry burden for a 5–10 agent call center from industry benchmarks.)
Platform cost structure: Pipedream bills on compute time (one credit per 30 seconds of execution) rather than per step, while Zapier counts each action step as a task. For multi-step workflows firing on every call event, that difference compounds as volume grows. (Basis: Pipedream and Zapier public pricing models.) The Bigger Picture
This engagement illustrates a pattern we see repeatedly: a business has outgrown the no-code automation tool it started with, but doesn't yet have a developer on staff to rebuild in pure code. Pipedream sits in the middle. It accepts JavaScript when you need logic, falls back to a GUI when you don't, and connects to Ringba, Zoho CRM, and incoming webhooks in one place, replacing a stack of point-to-point Zaps.
For the client, the result was call routing infrastructure they could actually grow into, capable of handling the insurance vertical expansion and, eventually, the planned scale-out to a larger agent workforce. They came in wanting to fix a broken Zapier integration. They left with an automation foundation built for what the business was becoming, not just what it was.
Client profile: Small pay-per-call operator (travel + insurance verticals), US-based, 5–15 agents at engagement start.
Engagement type: Ongoing consulting + development, starting November 2023.
Primary tools: Pipedream, Ringba, Zoho CRM.
Outgrowing your Zapier setup?
Zapier migrations like this one usually start when a workflow needs to remember something between runs, or react faster than a polling trigger allows. If your call routing, CRM sync, or fraud checks have hit that wall, book a ZoomFlow session. One of our consultants will map your current Zaps, show you what a Pipedream rebuild looks like for your stack, and start building it with you on the call.
