Why “edit submission” breaks the automation

Zoho Forms lets vendors edit a prior submission, but Zapier’s Zoho Forms trigger is “New Form Entry,” which fires on new submissions, not edits (as of October 2026 — check current triggers). The result: when a vendor edits an entry to add files, your Zap never fires, so the new files never reach OneDrive.
Fix: don’t rely on “edit response” for follow-up uploads. Instead, have vendors submit the form again when they have additional documents.

The reliable upload automation pattern: vendor key → folder lookup → file upload

This workflow is designed for vendors who may upload 0–4+ documents now, then come back later.

Step 1: Choose a stable “vendor key”

Pick one field that the vendor will enter the same way every time. Common options:
  • Company name (works if it’s enforced/validated)
  • Vendor ID (best, if your vendor list already has IDs)
  • Email domain (only works in some cases)
Tip: If you use company name, add a short helper line on the form that says: “Use the exact same company name every time you upload additional documents.”

Step 2: Build the workflow in Zapier

Build the automation in Zapier with this high-level flow:
  1. Trigger: New Zoho Forms submission
  2. Find the vendor folder in OneDrive by name or stored ID (Zapier’s OneDrive “Find Folder” action)
  3. If folder not found: create vendor folder under the parent event folder
  4. For each possible upload field:
    • If a file exists: upload it into the vendor’s folder
    • If no file exists: skip (avoid “missing file” errors)

Step 3: OneDrive folder strategy (avoid duplicates)

Inside your event’s parent folder (example: “2027 Vendors”), create one folder per vendor:
  • 2027 Vendors/<Vendor Key>/
In Zapier, always target the same path:
  • Use the folder found result when it exists
  • Use the folder created result when it didn’t exist
This avoids the classic “new folder every time” failure mode.

Handling multiple upload boxes (and optional documents)

If your Zoho Form has 4 upload fields (route map, booth design, insurance certificate, health certificate), don’t assume all 4 will be present.
For each upload box:
  • Add a conditional check (file exists?)
  • Then download → upload to OneDrive
  • Use a consistent destination filename pattern so it’s easy to spot replacements
Example filename pattern:
  • Certificate of Insurance - <Vendor Key> - <YYYY-MM-DD>.<ext>

Testing plan (run it before your upload deadline)

Run these tests in order so you don’t ship a fragile automation:
  1. New vendor, no files
    • Submit the form with the vendor key, leave uploads empty
    • Expected: folder is created, no upload steps error out
  2. Same vendor, new submission, 1 file
    • Submit again with the exact same vendor key and one file
    • Expected: no new folder; file lands in the existing folder
  3. Same vendor, new submission, multiple files
    • Submit again with 2–4 files
    • Expected: each file lands in the existing folder; missing fields are skipped
  4. Vendor key mismatch
    • Submit with a slightly different company name (extra space, “Inc.” vs none)
    • Expected: you get a duplicate folder (this proves why key discipline matters)

Triage tips when you’re under a deadline

When a document deadline is close and vendors are uploading late:
  • Turn off “edit your response” links so vendors don’t edit (edits don’t fire Zapier’s New Form Entry trigger).
  • Put a short note in the vendor email: “To upload missing documents, submit the form again using the exact same company name.”
  • Keep a simple audit log (even a spreadsheet) of vendor key → folder link for quick support.

When Zoho Forms “edit response” is non-negotiable

If you must support edits and need automation to run on them, you’ll need something other than a Zap that triggers on new submissions. Common alternatives:
  • A scheduled polling job that checks for updated submissions
  • A middleware service that can read submission updates and emit a webhook
  • A second “Upload missing documents” form that only collects the vendor key + file uploads
(Those options are more complex, but they remove the dependency on Zoho’s edit behavior.)
